Hi Abbie and Julie, 

Thanks so much for taking the time to chat yesterday. It's fantastic that you've been able to build a business so quickly, and I smile every time I pass one of your signs! I know they are making lots of people happy, and I would love to help you streamline some of your processes so that you can continue to serve the community and celebrate as many people as possible.

Below you will find some details around how we can cover the items on your to-do list, and what working together can look like.

Order Intake Process

You can let me know the most commonly asked questions your customers ask, and what questions you present to them in order to understand their needs and preferences. I have also pulled some inspiration from event decor rental companies and my own personal experience to get as much answered before you even connect 1:1 with inquiring leads.

 

Here is a snapshot off the top of my head: 

  • Type of celebration (birthday, congrats, etc.) 

  • Theme (we can list off a couple that you have and leave a space for them to answer themselves)

  • Color Scheme

  • What they would like it to say

  • Any custom pieces that would make the surprise "over the top" 

  • Preferred date

  • The earliest time that setup can begin

  • Location
     

Scheduling

We can have part of this done on the customer side (see above) and set up a shared calendar where you both and your helpers can set your availability in advance, making the decision-making process easier when reviewing Order Inquiries and planning out your routes for delivery and pickup.

We can also discuss integrating a scheduling system into the ordering process (customer-facing) that will automatically allow for X amount of orders based on the availability each person sets for themselves. Then each day, you can batch the orders by geographic area, assign each person their batch, print off a checklist of the items each person needs for their assigned addresses (using the program below) and you're off!

Inventory Management

I found a fantastic and affordable program that will allow you to see exactly what is reserved and what is available on any given day. If you provide a list of what you have, I can set it up for you. 

Website Overhaul

Priorities:

  • Order Now Page

    • Create and Embed Intake Form​

    • Make very clear the areas you serve & leave room for flexibility while also providing as much information as possible before you speak directly with them

  • Google My Business Listing & very basic SEO setup

If we have extra time:

  • I can take what you have so far and clean it up a bit. Here's what I have in mind:

    • For some reason the homepage is zoomed in? Not sure what's happening there but I have ​to zoom out in order for it to look more like I think it's supposed to... I can fix that!

    • Revamp the header image (you don't need icons there since they are above it, and the footer contains your insta

    • Separate the site into 4 pages

      • Home: Will contain your "what we do" statement, a section for "What are you celebrating?" with icons for common ones (birthdays, anniversary, etc.) that will get people's imagination running​, a testimonial slider (you have tons!), and a few Call-to-Action buttons (see our past work, get started now, what we can do)

      • Order Now:  Will contain the intake form and scheduler (if we go that route) and leave them with a "Thanks, we will contact you within 24-48 hours" type message

      • Past Work: A page where you can house photos & testimonials for people to reference before and during the order process

      • About Us: Tell them who you are! If you rooting around in someone's yard at night, they might feel a little more inclined to go for it if they know you are normal and safe - haha! 

What Happens Next

I offer my VIP Intensives in the form of half- and full- days: you choose how deep we will go.

Half-Days Include:

 

A one-hour strategy call (as soon as possible) to get clear on the scope of the half-day and what is realistic to accomplish

A morning-of kickoff call to meet on the project and discuss how the day will go

That evening, I will deliver video walkthroughs of all systems created and best practices for using them

3 days of instant messenger access so that I can support you with any questions you may have

A one-hour strategy call (as soon as possible) to get clear on the scope of the full day and what is realistic to accomplish

A morning-of kickoff call to meet on the project and discuss how the day will go

 

6 working hours

That evening, I will deliver video walkthroughs of all systems created and best practices for using them

7 days of instant messenger access so that I can support you with any questions you may have

In your case specifically...

A half-day will allow for the setup & implementation of your intake form, basic scheduling system setup, basic setup of inventory program (you will need to load in the items), and website priorities listed above
A full-day will allow for everything listed above with more complete setup and more in-depth overview/training videos, and the possibility of the extra website design that I mentioned, or any additional priorities I may have missed. 

If you feel you need more than one full-day to set up and implement everything you desire, you can book an additional half- or full-day for 20% off. This session can be saved for future use, and if you are not familiar with my services, you can click here for an overview of my VIP Intensives, and here for the services I provide to my ongoing support clients. 

Once you choose your half-or full-day option, we will schedule our strategy call to go over what we can realistically accomplish based on your decision and priorities, as well as the date of our VIP Intensive. I reserve my Fridays for these, and I currently have July 31st, August 7th, and August 14th available. I do ask that you remain available on this day for any questions or additional information I may need once I get started.

Following our Strategy Call, I will create a checklist of items and information I need from you and a Google Drive folder where you can upload these items. This will also be the folder where I will deliver the overview/training videos and back-end information regarding your shiny new systems.
